Privacy policy

TakeOath is a free, independent prep and referral tool. We collect as little as possible, keep it only as long as it serves you, and never sell it. Effective June 7, 2026.

The short version

You can use the tools without an account, on your device. We store information only when you sign in and choose to save it. We never collect Social Security numbers, green card numbers, photos or scans of any document, or medical records. There is no document upload anywhere in the product.

What we collect, and why

Everything below is optional and is collected only when you provide it:

  • Account. An email or phone number so you can sign in, plus your language preference. We use a one-time code to sign you in, so there is no password to store.
  • Profile. First name, contact email or phone, ZIP code, age, sex, height, weight, age range, and education. We use these to pre-fill the prep tools and to build a referral that you review. Sex and age drive the fitness scoring; they are the two columns the official tables use, not a statement of identity.
  • Saved results. When you are signed in and tap save, we store the figures you entered and the score we computed for the AFT calculator, the body-composition check, ASVAB practice, and civics practice.
  • Readiness signal. The eligibility self-check is answered and scored on your device. The raw answers are discarded. Only a coarse signal (ready, or some items to discuss) is ever saved, and only if you have an account and consent.
  • Consents. Each time you grant or revoke a permission, we record the permission, the version of the wording, the time, and the IP address, as the record of what you agreed to.
  • Mentor bookings and referrals. If you book a mentor call or send a referral, we keep what you entered and its status.
  • Reminders. If you turn on reminders, we keep what we need to send them (your contact choice, or a device token for app push).

The one sensitive field

Virginia law treats immigration status as sensitive. If you tell us you hold a green card, we store that single fact only with your explicit consent, encrypted, and every read is access-logged. You can revoke that consent and remove the stored value at any time. We never store your green card number or any document.

How we share it

We share only what you review and send, and nothing is ever sent automatically.

  • Recruiter referral. When you ask to be referred, you see the exact snapshot first: your contact details, a few profile facts, your readiness signal, and highlights of any prep results you saved. After you grant the refer and contact consents and press send, it goes to a Virginia Army National Guard recruiter so they can reach out.
  • Mentor calls. If you book a call, the mentor sees what you enter for that booking.

We do not sell your data, and we do not share it for advertising.

Analytics

Usage analytics are off by default. If you turn them on in settings, we record a few anonymous events (for example, that a tool was used or a referral was sent) to understand the funnel. These carry no personal data, no account id, and no contact details, they stay first-party (no third-party tracker), and we honor your browser Do Not Track setting.

Messaging

We send text messages only with your prior express consent, and email follows CAN-SPAM with an unsubscribe link in every message. Reminders are sent only if you opt in, and you can turn them off at any time.

Security

Data is encrypted in transit. The green card flag is encrypted at rest and access-logged. We minimize what we keep, which is the strongest protection of all.

Your rights

Under Virginia law and our own policy, you can access and export your data, correct it, delete it, and opt out of contact:

  • Download everything we hold, or delete your account, from account settings. Deletion is permanent and removes all associated data.
  • Correct your details anytime in your profile.
  • Grant or revoke any permission in your consent center.

For how long we keep each kind of data, and exactly how deletion works, see our retention and deletion policy.

Eighteen and older

At launch, TakeOath is for people eighteen or older. Please do not use it if you are under eighteen.

Not the government

TakeOath is an independent tool. It is not the U.S. Army, the National Guard, or any government agency, and it gives information, never legal, immigration, or medical advice.

Changes and contact

If this policy changes in a meaningful way, we will update the effective date above and, where appropriate, ask for fresh consent. To ask a privacy question or make a rights request, contact us at privacy@takeoath.us.
